You enter the month and year and the days are placed automatically, with weekends marked. For each day, you record the start time, end time, and break; worked hours, ordinary hours, and hours beyond the working day are calculated automatically, including night shifts.<\/li>\n<li><strong>Monthly summary.<\/strong> It fills itself in with the monthly totals and leaves space for the signature of the person receiving it. This is what is handed over with the payslip to part-time workers or people who do overtime.<\/li>\n<li><strong>How to use it.<\/strong> Instructions in eight steps.<\/li>\n<\/ul>\n<p>The PDF includes the first two sheets blank, ready to print on A4.<\/p>\n<p>The template is in Spanish: that is the language your staff will sign it in and the one a Spanish labour inspector will read. The sheets are called <em>Registro<\/em> (record), <em>Resumen mensual<\/em> (monthly summary) and <em>C\u00f3mo se usa<\/em> (how to use it). The Ministry of Labour guide leaves it open: any system or medium is valid, on paper or electronically, as long as it provides information that is reliable, unchangeable, and not manipulable afterwards.<\/p>\n<p>Who decides the format is also set out in the law. It is established by the collective agreement or a company agreement and, if neither exists, the company decides after consulting the workers\u2019 representatives. Copying the schedule from the contract or filling in the sheet at the end of the month is not a daily record.<\/li>\n<li><strong>Record the break that does not count as work.<\/strong> Lunch, for example. The template subtracts it automatically.<\/li>\n<li><strong>Check the ordinary hours per day.<\/strong> The template comes with 8. Whether those hours are truly overtime depends on how your collective agreement distributes the working day, so treat it as a warning and not as the final calculation.<\/p>\n<h2 id=\"firma\">Does it have to be signed?<\/h2>\n<p>The law does not require a signature on the daily record. But on paper or in Excel, the person&#8217;s signature is the simplest way to prove that the recorded hours are theirs and that nobody changed them afterwards. The prudent approach is for them to sign each day or, at minimum, when closing the month, and for the company to sign as well.<\/p>\n<p>Nor is it necessary to give a copy of the daily record to each person, unless that has been agreed: it is enough that they can consult it. The exception is part-time work and overtime, which are covered in the next section.<\/p>\n<h2 id=\"parcial\">Part-time and overtime<\/h2>\n<p>In two cases, in addition to recording each day, you must total and provide:<\/p>\n<ul>\n<li><strong>Part-time contracts.<\/strong> The hours are totaled each month and a copy of the summary is given with the payslip, showing ordinary and complementary hours. If this is not done, the contract is presumed to be full-time. We explain this in the guide to <a href=\"https:\/\/consultoriaehero.com\/en\/part-time-working-time-record-in-spain\/\">part-time working time record in Spain<\/a>.<\/li>\n<li><strong>Overtime.<\/strong> These are totaled in the period in which the salary is paid and a copy of the summary is given with the payslip.<\/li>\n<\/ul>\n<p>That is what the <em>Resumen mensual<\/em> sheet of the template is for.<\/p>\n<h2 id=\"limites\">When it falls short<\/h2>\n<p>A spreadsheet works as long as the record is reliable. That is where it fails if it is not handled carefully:<\/p>\n<ul>\n<li><strong>Anyone can change a time<\/strong> without leaving a trace. That is why it is advisable to print it and sign it, or save it as PDF at the end of each month.<\/li>\n<li><strong>No one notices if a day is left unrecorded.<\/strong> And a sheet filled in all at once at the end of the month, with every start time at exactly 9:00, is hard to defend.<\/li>\n<li><strong>With several people, the work multiplies:<\/strong> one sheet per person and month, signatures, summaries, and four years of archiving.<\/li>\n<\/ul>\n<p>And there is an announced change. As of 2 October 2026, the Spanish royal decree (<em>real decreto<\/em>) that would make digital recording mandatory has still not been approved; the known drafts call for a digital format, with corrections visible and access for the Spanish Labour Inspectorate (<em>Inspecci\u00f3n de Trabajo<\/em>). If it goes ahead in those terms, paper and Excel will no longer be valid. Until then, they are legal. Any sheet that reliably captures that data is valid.<\/p>\n<p><strong>Is it legal to keep the timesheet in Excel?<\/strong><\/p>\n<p>Yes, today it is. On paper or in Excel, it is highly recommended, because it proves that the hours are real.<\/p>\n<p><strong>How long are the sheets kept?<\/strong><\/p>\n<p>Four years, available to workers, their representatives, and the Labour Inspectorate.<\/p>\n<p><strong>What is the fine for not keeping a timesheet in Spain?<\/strong><\/p>\n<p>It is a serious offence, with a fine from \u20ac751 to \u20ac7,500.<\/p>\n<h2>Conclusion<\/h2>\n<p>A timesheet template works if it is used as a record: the actual time, entered every day, with breaks and a signature. For a company with few people, it is a valid way to comply today.
