Vending management software: what it should do and how to choose it

Vending management software helps you know three things without having to go and check them: what is in each machine, what has been sold, and what needs to be taken on the next visit. Everything else, from the warehouse to the cash box, comes from there.

In this guide we explain what this kind of software does, what types there are depending on whether they include telemetry or not, what you should ask before choosing one, and when a spreadsheet is still enough. We do not compare brands: we give you the criteria so you can compare them yourself.

What vending software does

An operator’s work repeats in a cycle, and the software follows it step by step:

  1. The machines and their slots. Which product goes in each slot, at what price, and how many units fit.
  2. Loading. What to take out of the warehouse before leaving, based on what is missing from the machines that day.
  3. Restocking. What was left and what has been added in each slot.
  4. Sales. What was sold by machine, by product, and by slot.
  5. The warehouse and purchases. What is left, what is expiring, and what needs to be ordered.
  6. Cash. What is removed from each machine and whether it matches what was sold.
  7. The numbers. What each machine earns after paying for the product, expenses, and the location’s commission.

A program that only covers part of this, sales for example, forces you to keep the rest somewhere else. And as soon as the data is in two places, it stops matching.

The three types available

The main difference is how the software finds out what has been sold:

There is no one type that is better than the others. There is one that fits the number of machines you manage, how far apart they are, and how much time you can spend setting it up.

What it needs to solve

Whatever the type, this is what it should ideally do:

  • The map of each machine: product, price, and capacity of each slot.
  • The load list for the machines that need to be visited, so you do not leave with a half-empty van or come back with unopened boxes.
  • Slot-by-slot restocking, from the mobile phone and in front of the machine.
  • Actual sales by machine, by product, and by slot.
  • The warehouse: stock, minimums, and inventory count.
  • Batches and expiry dates, so you take out what expires first.
  • Purchases: what to order, from which supplier, and at what price.
  • Cash collection: how much should be in the cash box based on sales.
  • The commission for each location and fixed costs, to see the profitability of each machine.
  • Multiple users, with different permissions for the person who restocks and the person who manages.
  • Exporting your data, in a format that any spreadsheet can open.

What to ask before choosing

Question Why it matters
Do I need to install anything in the machine? If it does, there is a cost per machine before you start, and you should confirm that your model supports it
Is it charged per machine, per user, or by features? With the same fleet, the total cost changes a lot from one model to another
Does it work well on mobile? Restocking is recorded standing up, in front of the machine, not in the office
Can I import what I already have? Having to retype products, slots, and prices is what keeps people from ever getting started
Can I take my data with me if I leave? Sales and history are yours
Is there a minimum contract term? The number of machines goes up and down throughout the year
Can I try it with one machine? A real route teaches you more than any demo
Where is the data stored? It is best if it is in the European Union and stated in writing

When Excel is enough

With one or two machines and a few products, a well-maintained spreadsheet does the job. It starts to fall short when any of these signs appear:

  • you decide what to take in the van from memory, and only get it half right;
  • you do not know which slot sells and which one has been idle for weeks;
  • you find expired product in the machine or in the warehouse;
  • the money you collect does not match what you think you sold, and you do not know why;
  • someone else restocks and only you can understand the sheet.

And telemetry?

Telemetry tells you what is happening in the machine without going to it: what was sold today, which slot is empty, whether there is a fault. Without telemetry, you only know it at each visit, not between visits.

Whether it is worth it depends on your machines. It is more worthwhile if they are far away, sell a lot, or if a wasted trip is expensive. It is less worthwhile if you have few, if they are close together, or if you pass by them every few days anyway. It is a per-machine calculation: the cost of the equipment and its connection versus the trips and lost sales it avoids.
